As the Office, Administrator, your responsibilities include general administration of the real estate sales office as well as supporting the Chief Operations Officer, Austin Office Manager/HR Manager. In this fast paced office you will be a valuable asset by assisting the local office agents by playing a key part in coordinating all the activities involved in advertising, listing, sales and closings of properties. Background in the following:
Experience managing all aspects of listings including process listings, sales, and closings in Real Estate Brokerage CRM, CoStar Applications, audit and maintain related records of listings, contracts, and closings, review files to make certain that all necessary documents and approvals are included, gather and communicate information for settlements to attorneys.
Manage all MLS activity for the local office, company websites including new listings into MLS, company website, coordinate property photos, sign, & flier orders as soon as the property is listed, maintaining marketing budget.
Exposure to supporting agents & interns with on-boarding and processing upon affiliation including phone and other office systems, order business cards, Google Drive file sharing, CRM set up, provide a consistent level of support in the processing of all leasing or sales transactions.
Obtain necessary approvals for all transaction invoices before releasing for payment and submit to headquarters accounting department, as well as maintain petty cash, process expense reports.
Expertise in completing all office administration tasks, including general, office and business supply orders, equipment maintenance, preparation and processing of new affiliation paperwork and licenses, maintain files and oversee general office appearance and repair issues.

Three or more years' experience working in a commercial real estate or development company or two or more years' experience in a customer centric business environment with administrative responsibility.
Proficiency in Microsoft Office Suite including Word, Excel, and Outlook. Proficiency in Adobe Acrobat Professional for PDF editing.
Creative problem-solving skills. Strong communication skills, verbal and written.
Meticulous attention to detail.
Ability to interact successfully with both internal and external customers at all levels.
Basic math skills which include addition, subtraction, multiplication, division, percentage, fractions and the ability to calculate commissions, interests, and discounts.
Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.
College degree preferred.
